Thesis Committee Member Travel Reimbursement

The WHOI Academic Programs Office will pay reasonable costs* for one outside member to attend the thesis proposal defense and the thesis defense. It is recommended that students keep in touch with these members between visits using email, telephone, videoconferencing or interacting with them at professional meetings.

  • The committee member should make their own travel arrangements and ask for the WHOI rate (if staying in Woods Hole/Falmouth) or the MIT rate (if staying in Cambridge) at local hotels.
  • The committee member should complete a travel expense voucher (using department #51) with original receipts indicating the amount and method of payment (visa, MC, etc.).  If the individual in a non-US citizen and has not received reimbursement from WHOI before, they must also complete a W-8BEN.  The voucher, receipts (and W-8BEN, if applicable) can be sent to WHOI Academic Programs Office, Attention: Keqi Ren, MS #31, Woods Hole, MA 02543 or electronically to keqi.ren@whoi.edu.

* Reasonable costs consist of airfare (or mileage if driving), one to two nights' lodging (depending upon distance traveled), per diem for meals, and transportation to and from airports.
